Document requests are a feature in Revver that allows you to easily and securely request documents from people outside of your organization, all without the need for a Revver user account.
Access & Feature Requirements
In order to access Document Requests, your user will require the 'Document Requests' enabled feature.
To access management tools allowing you to view all document requests made on the account, document request deletion, and document request templates, your user will require the 'Document Requests Management' enabled feature.
Accessing the Document Requests Menu
To access Document Requests, start by clicking on the 'Document Requests' option on the left hand side of the Revver page. You can also find Document Requests in the 'All Features' pane, located under the 'Work' column.
Creating a Document Request
To begin creating your first document request, locate and click on the 'New Request' button, located at the top right of the Document Requests page.
The following section will describe the various options available to you when creating a document request in Revver.
Document Request Configuration Options
(Optional) Choosing a Document Request Template
If you have already created a Document Request Template or one is available, you can select one using the drop down menu on the Document Request creation screen.
Document Request templates will populate the request with everything from the subject line, attachments, custom messaging, timeframe and notification settings, and the documents or forms you are requesting.
Choosing a Destination
Document Requests allow you to configure where the uploaded documents are stored to upon completion.
Click on the purple 'Select' button to choose a location the uploaded documents will be stored to, a small window will appear allowing you to pick any drawer or folder you have access to within your Revver account.
Create a new folder in the destination location (Optional)
Optionally, if you would like the stored documents to be placed in a sub-folder within the selected destination, you can configure that by checking the box underneath the location selection button.
When checked, a new folder will be created each time this document request is submitted. The new folder will be named with the submission date, followed by the display name of the person completing the request.
Choosing a Recipient
When configuring a document request, you have the option to choose whether it is sent to a recipient via email, or if you are provided with a link to the document request directly. There are some key differences in how each operates:
Email Document Requests
Document requests sent via email can only be used once. Once the recipient submits the document request, it is considered 'Completed' and can no longer be accessed by the recipient.
The link for the document request is sent directly to the recipients email inbox.
Do require a Revver user account to be a recipient, but can be used to send document requests to Revver users directly.
To send a document request to a recipient via email, enter their email into the 'To' field. This option cannot be used in conjunction with the access link option described below within the same document request. Recipients can be chosen from existing users or guest users within Revver, but also supports emails that do not belong to user accounts within Revver.
When sending a document request via email to a Revver user or guest user, the link received in their email will require them to login to Revver with their username and password.
Access Links
Document requests using access links can be used multiple times. Once a recipient submits the document request, the files they have uploaded will be stored in the location selected in the document request. The link will then remain available for use for any other recipients who need to submit documents to you or your organization.
Do not require a Revver user account to utilize.
The link can be used by anyone with access to the link.
To generate an access link for your document request, check the box labeled 'Generate link for request'. Once you are done configuring the document request, click on the 'Generate Access Link' button at the bottom of the page.
Custom Messaging
The 'Subject' and 'Message' fields are non-optional, but allow you to provide helpful and descriptive messaging that will be displayed to recipients of the document request. This option is available both when sending a document request via email or when using an access link.
Attachments
Below the subject field, you can use the '+' icon to add attachments that will be made available to your recipients. Attachments are selected from existing files in your Revver account, when the '+' icon is clicked, you will be prompted to choose a file located in the file structure of your Revver account.
Additional Settings
Document Requests can be configured with additional time frame, notification, and sign-in options described below:
Timeframe
Checking the 'Timeframe' box will allow you to configure how long the Document Request stays active for. This is particularly helpful when utilizing access links that allow for multiple submissions, so that the link is not perpetually usable.
The timeframe options can be configured to end on a specific date, or based on a timeframe in days, months, or years.
Notify on Completion
Checking the 'Notify on Completion' box will notify whomever created the document request that it has been submitted and completed. These notifications will appear on your 'Home' screen in Revver.
Grant Instant Sign-On
The 'Grant Instant Sign-on' is a convenience option that allows the links to open directly to the document request, rather than asking the recipient to enter their name and an optional email address when accessed.
Selecting this option when sending document requests via email to existing Revver users or guest users will allow them to access the document request without the need to sign-in to their account.
Choosing Files to Request
To choose the files you want to request, locate and click on the 'Request File' or 'Request Form' located near the bottom of the Document Request configuration screen.
Requesting Files
Clicking on 'Request File' will add a new file to the list.
Name the file to notify the Document Request recipient of which files they need to upload when submitting documents.
Optionally, checking the 'Required' box will disallow the recipient from submitting the Document Request as 'Completed' until the file has been uploaded.
The 'Rename' option will store the document as the name you've selected for the file.
Checking the 'Allow multiple file uploads' box will allow multiple files to be uploaded that match the listed file. This can be configured to include a minimum or maximum number of allowed files.
Requesting Forms
Document Requests can be utilized to request recipients fill out a fillable document within Revver. Clicking on 'Request Form' will prompt you to select an existing form-fillable file stored in your Revver account or in your Revver form-fill templates.
Upon choosing a document, a previewer window will appear where you can review, edit, remove, or add fields to the document as necessary.
Click on 'Save' will save the form-fill document to the document request list. Much like file requests, form fill document requests can be configured to be required uploads or renamed.
