Profiles and Profile Items in Revver have long enabled you to capture and store the most important information from a document in a succinct way. It can be the home for various details about a document like the status, an important date, or its position in an important business process. Profiles can be used to capture key details about your customers, clients, or employees at the folder or file level. Beyond just storing documents, there is immense value within Revver when utilizing this information which is why Profiles is getting several improvements along with a new name, Metadata.
What is Metadata?
Within Revver, Metadata fields and groups can be created to suit a variety of use cases. There are several field types available (i.e. Text, Number, Date, Dropdown List etc) with advanced settings and formatting options to make certain that the data captured will be usable in its intended way. Individual fields can be applied to any folder or file in Revver. Metadata groups facilitate organization to help ensure the right fields of information are being applied to the right files. Having a system in place and an interface to help you capture, organize, and leverage all of the important information relating to your files is exactly what Metadata in Revver is all about.
How can I use Metadata?
There are several ways to capture Metadata in Revver and several ways to leverage and get value out of the data. Driving more effective and efficient document related work is paramount to what Revver can do for you, and for many of our customers Metadata is at the very core.
Many of the improvements to Metadata are laying a stronger foundation for capturing metadata, whether it be from manual inputs, mapped from a Doc Request or Form Fill, populated through an API, or via our brand new Smart Extract technology. With additional field types (NEW Link and Address) and improvements to existing field types like selecting your desired date format, and enhanced validation, you can expect better data integrity to power your work in Revver.
The values stored in Metadata immediately unlock better and more precise Searching, provide at a glance insights, enable triggering of specific Workflows, and are available data points for various automation functions. Utilizing Metadata effectively in Revver will greatly increase your efficiency and productivity with your document centric work.
What’s new?
Beyond a new name, there are several enhancements that make it much easier to get started with Metadata, as well as manage and organize your account’s fields and groups.
A NEW Metadata Library. Save significant time with out of the box Groups and Fields to suit a variety of use cases that can seamlessly be added to your account. Not sure you want all of the fields in one of the Library Groups? Simply add the group and easily remove or add Fields to get it just right. Or you can pick and choose individual fields to be added to your account.
Improvements to the Field creation flow have not only made things easier, it has unlocked new capabilities for several of the existing and new Field types. Below are a few of the notable field specific improvements
NEW Minimum and Maximum character limit and Prefix settings for Text Field type
NEW Minimum and Maximum value limits for Number Field type
NEW Date formatting options for Date Field type
NEW Bulk add option for Dropdown List Field type (formerly Preset Value) and a setting to allow the user to add new options
NEW Address filed type that groups the standard components of an address together
NEW Link Field type to support URLs
Improvements to the Group creation flow making it easier to add, remove, and reorder the fields within a Group.
Better Account Field and Group management that enables you to see at a glance important details. Sorting and searching functionality added to the management tables to help you find exactly what you are looking for.
A new look and feel when viewing and editing the Metadata that is applied to a Folder or File with improved validation measures to make sure that the data being captured meets the requirements for the field.
Create or Add Fields and Groups on the fly. Eliminating the need to go into the management side of Metadata to get the right Field or Group to apply to a file will keep you focused on the task at hand.
Apply more than one group to a Folder or File. Instead of being limited to just one group, which led to not best practices of organization of fields in an account, you can now apply more than one group.
There are several other improvements that aren’t mentioned along with more on the way. The changes are an exciting step forward and we look forward to hearing your feedback and suggestions for the future of Metadata in Revver.
In conjunction with our new Smart Extract capabilities that leverage AI to automatically identify and extract values from a document and store it in your Metadata Fields in Revver, there is little reason to not take advantage of these new improvements and start setting yourself up for a data rich and efficient future.
What happens to my Profiles and Profile Items that I am already using today?
Your existing Profiles and Profile Items will be unaffected and remain operational as they are. They will be referenced as Metadata Groups and Fields moving forward and will be eligible for some of the new configuration and formatting options that are being rolled out.
