Getting Started with Smart Extract

A quick overview on how to get started with Revver's Smart Extract feature.

Smart Extract is Revver's AI-powered feature that automatically pulls and saves metadata you care about from your documents. You will be able to easily automate filing, improve searches, drive reports, and power workflows, all triggered by metadata that Smart Extract finds. All without having to manually work on the file at all.


Access & Permissions Required

In order to view metadata information and information collected by Smart Extract, your user will require the 'Metadata' feature to be enabled.

In order to enable Smart Extract on locations and files, your user will require the 'Metadata Management' feature to be enabled.

To use features such as automation and/or workflows with Smart Extract data, your user may require one or more of the following enabled features.


Feature Overview

  • Can run on files brought into Revver by anyone and from anywhere (e.g., upload, email import, scan, print, watch folder).

  • Automatic cloud-based AI-driven metadata extraction, capturing and storing all of the fields you care about (without sharing your data with others).

  • Kick off automation and workflows. For example, you can use Workflow to automatically file documents based on a metadata value.

  • Improves your search options with the ability to search by metadata.

  • Take advantage of metadata to gain business insights with Revver Reports.

Supported File Types

Smart Extract currently works with the following file types:

  • .pdf

  • .jpg

  • .jpeg

  • .png

  • .tif

  • .tiff

Smart Extract can also be run on files that contain handwriting.


Using Smart Extract

Step 1 - Log in to Revver

As covered in the Access & Permissions Required section of this article, your user will require both the Metadata and the Metadata Management feature. Metadata allow you to see the Metadata panel on a document or location within Revver, which is where metadata collected by Smart Extract is stored, and Metadata Management will allow you to enable Smart Extract on locations containing the documents you want to use it on.

Step 2 - Enable Smart Extract

Enabling Smart Extract is done on a per-location basis, giving you control over which documents are processed for metadata. Smart Extract can be enabled on all location types, including cabinets.

Start by locating a cabinet, folder, or drawer you want to enable Smart Extract on, selecting it, then clicking on the Metadata tab in the Sidesheet.

Click on the 'Add Metadata' drop down and choose 'Enable Smart Extract'.

Step 3 - Customize the Metadata

Clicking on that button will bring up a screen where you can configure what metadata you want Smart Extract to look for. The available options are determined by which metadata groups or fields you have set up within your Revver account.

Select a metadata group, or whichever metadata fields you want Smart Extract to look out for and it will automatically add them to its watch list.

Once satisfied, clicking on the 'Customize' button will finalize your selection and enable Smart Extraction for that location.

Step 4 - Upload Files

As you upload files into Smart Extract enabled locations, it will automatically process them. The results will appear in the Metadata tab.


Power automations with the metadata

After Smart Extract runs on your file and populates metadata for you, Revver has powerful automation features that can then use that metadata to properly file/route documents, kick off other processes, and initiate manual reviews as needed. With your test location selected, you can navigate to the Automations tab. From there, you can initiate several different actions based on the new trigger, “Smart Extract completes,” or the updated trigger, “A metadata item value is added or changed on a file in this location.”

For example, you can create a Workflow that will use a specific metadata value to create folders and move items into that folder. You can then set an automation to “Start a Workflow” when “Smart Extract completes” for this location. Now, when you upload documents, Smart Extract will automatically run and find metadata. Then the Workflow will start, and it will use the metadata that Smart Extract finds to create folders and move items.


Disabling Smart Extract

To disable Smart Extract on a location you have enabled it on, click on the container to select it, then click on the 'Metadata' tab in the Sidesheet.

Click on the 'Add Metadata' dropdown menu and select 'Edit Smart Extract'.

Then click on 'Turn off Smart Extract' to disable it for that location.

First, you can choose whether you want to enable and use Smart Extract or any future feature powered by AI. We also want to assure you that your data is never used to train any AI models. It remains securely stored within Revver's systems, only accessible to authorized users of your account and is never exposed to outside parties or resources not controlled by Revver.

Additionally, while we do use customer feedback to refine our code and improve our services, this feedback is strictly utilized by our engineers and is not employed in training AI models. Our commitment to your privacy and data security is unwavering, ensuring that your information is always handled with the utmost care and confidentiality.
