Smart Summary is a Revver AI feature that automatically generates a summary of a file's contents. With Smart Summary, you can understand what's inside a document without having to preview or check it out. Summaries are stored as a metadata field, making them searchable and usable in Workflows like other metadata.
With Smart Summary, you can:
Understand documents at a glance. Get the key details from a file instantly without opening it, right from the Details and Metadata tabs in the sidesheet.
Find the right document faster. Search summary content to locate files based on what they contain, not just their name.
Use summaries in Workflows and automations. Because Smart Summary behaves like a standard metadata field, you can use it anywhere metadata is supported in Revver.
Required Permissions
You'll need to be a Fully Licensed user. To edit Smart Summary content and settings, you’ll need the Metadata Management feature enabled.
Enabling Smart Summary on a cabinet, drawer, or folder
Smart Summary is off by default across your account. When you enable it on a container (e.g. a drawer or folder), Smart Summary will automatically generate for all files within it, including files added in the future.
Note: Smart Summary currently runs on files only.
Step 1: Navigate to the account, cabinet, drawer, or folder where you want to enable Smart Summary.
Step 2: Open the Metadata tab in the sidesheet.
Step 3: Click the Add Metadata button and locate the Revver AI section in the menu.
Step 4: Select “Enable Smart Summary” to turn the feature on.
Smart Summary will begin generating for all files in the location.
Enabling Smart Summary on an individual file
You can generate a Smart Summary for a single file without enabling Smart Summary on the entire location.
Step 1: Select the file and open the Metadata tab in the sidesheet.
Step 2: Click the Add Metadata button and locate the Revver AI section.
Step 3: Select Enable Smart Summary
Searching Smart Summary content
Smart Summary field content is searchable across your account. To include summaries in your search results:
Step 1: Navigate to Search in Revver.
Step 2: Check the Smart Summary box to include summary content.
Step 3: Run your search.
Managing Smart Summary settings
Smart Summary settings are inheritable. You can turn Smart Summary on at high level to have all of the subitems in that location receive the same status. A subfile or subitem can override inheritance settings and control its own settings.
Step 1: Enable Smart Summary on a location with subfolders items (see above on how to enable). We’ll call this Drawer A.
Step 2: Go to the metadata tab of a subfolder (let’s call this Folder B). Open Smart Summary Settings and open the Advanced section. You can change the status of Folder B to be different than the status of Drawer A now by toggling the status in the override section.
Step 3: After you save your settings, you can re-open the Revver AI Settings modal to review them. If you want to resume inheriting Smart Summary status from a higher location, you can open the Advanced section and remove the override. Once removed, Folder B will resume inheriting status from Drawer A.
Editing and removing summaries
Summaries generated by Smart Summary are editable by users with the Metadata Management feature enabled.
To remove or edit a Summary from an individual file, select the dot menu visible on hover over the Smart Summary field on the file's Metadata or Details tab. Choose Remove to delete the file and Edit to make changes.
Smart Summary and file versions
A new summary is generated each time a new version of a file is uploaded. If you revert a file to a previous version, the summary does not revert. The summary displayed will always belong to the latest version.
Searching Smart Summary content
Smart Summary field content is searchable across your account. To include summaries in your search results:
Step 1: Navigate to Search in Revver.
Step 2: Check the Smart Summary box to include summary content.
Step 3: Run your search.
Tips
Use Smart Summary on individual files for a quick one-off summary without changing settings for the whole location.
If you need to exclude a specific folder from Smart Summary, use the inheritance override rather than disabling the feature at a higher level.
