Revver AI Overview
We have multiple Revver AI agents built into the product with a very easy setup to customize for your unique business needs - and they work seamlessly with our other automation features, such as our no code workflows. These agents include:
Smart Extract: Automatically finds and adds the metadata you care about in your documents, powering search and automated workflows
Smart Hints: Give Smart Extract added context for hard-to-find fields in your unique documents
Smart Summary: AI-generated short and long document summaries of your files
Smart Classification: AI-driven document classification, with tailored identification of any number of your custom document types
Smart Name: Automatically applies clear, consistent file names based on dynamic content or standard rules
Smart Filing: Automatic AI-driven document filing, based on your custom list of document classifications or other metadata
Suggested Steps to Get Started
To get started and make the most of Revver AI, we recommend following these steps…
If you don’t already have a business process you’re planning to use Revver AI for, or if you want to fine tune things before using them in a core workflow, we recommend setting up a Proof of Concept (POC) test area in your account to get Revver AI and any supporting automation features working just right in your account. The simplest thing is just to create a new cabinet for this. You can call it “AI and Automation Testing” or whatever you’d like. We’ve included some suggested use cases to start with below.
Set up the right metadata for your account, based on your organization’s unique documents and processes. We have a huge library of metadata groups and fields to choose from, and you can easily add your own custom groups and fields. Within the metadata feature, you can also set up two of our Revver AI agents. First, for any metadata that might be hard for Revver AI to find in your documents, you can add Smart Hints with specialized instructions for your metadata fields. Second, you can create one or more Smart Classification fields that will allow Revver AI to classify what type of document a new file is, based on your unique document types.
Set up Smart Extract and Smart Summary in specific folders or drawers in your Revver Account. This sets these Revver AI agents up to run on any file uploaded or moved to that location. So when a file is added, the metadata is automatically extracted and added to the file based on which fields you set Smart Extract to look for and/or a document summary is automatically added to the file. You can set these up on as many locations in your account as you would like, and you can set Smart Extract to look for different metadata in different folders/drawers (e.g., client information in one location and employee information in another).
Set up Smart Filing to automatically file new documents added to your account in the right drawer or folder. This is done by adding a new Smart Filing automation in a specific drawer or folder, typically triggered by Smart Extract completing. It is most powerful when filing based on document type as determined by a specialized Smart Classification field, but it can be based on any dropdown list metadata field. If there are more complex actions you want to take on your documents, such as an approval flow, you can also kick off an automated workflow from the new file destination.
Set up Smart Name to automatically rename new documents as they are added to your account, typically triggered by Smart Extract completing. This is a new automation that is set up on specific drawers or folders where you want to use it, and you can have different renaming rules for different locations.
We hope these recommended steps are helpful. You’re welcome to follow a different order or skip steps based on your unique business needs. For more information about using each feature, click the links above for additional Help Center articles with more details.
Recommended Proof of Concept (POC) Setup for Revver AI
As mentioned above, in some cases it might make sense to first set up Revver AI in a new Proof of Concept (POC) test area in your account to experiment or to get Revver AI and any supporting automation features working just right in your account. The simplest thing is just to create a new cabinet for this. You can call it “AI and Automation Testing” or whatever you’d like.
Here are some use cases and potential setups you can consider, depending on your unique business processes…
Smart Classification + Smart Filing
Steps for testing classifying new documents and filing them automatically based on the document type:
Create a Smart Classification metadata field listing the different types of documents you want to identify
Create a “File by Document Type” drawer and within it create an “Intake” folder and another “Classified Documents” folder. In the “Classified Documents” folder make a separate folder for each document type you included in Smart Classification. Also add an “Unknown - Manual Review” folder.
Set up Smart Extract on the “Intake” folder and choose your Smart Classification field as the metadata to look for
Add a Smart Filing automation on the “Intake” folder, triggering when Smart Extract completes. Map each document type to the folder it belongs in (within the “Classified Documents” folder). For the “unknown” classification case, select the “Unknown - Manual Review” folder you created.
Upload a collection of files to the “Intake” folder, covering a mix of document types. They should be automatically classified (showing the document type in their metadata) and then automatically filed in the corresponding folder. If Revver AI doesn’t initially get them all correct, simply refine your document descriptions in your Smart Classification metadata field.
If you want to take additional automated actions on the files, you could also create a workflow and have it trigger automatically when a file is moved to the new document type folders
Smart Extract + Smart Name + Search
Steps for testing automatic extraction of metadata from new files, which could then be used for automatically renaming the files and finding them using Search:
Make sure that any metadata fields you want to capture are added to your account within the Metadata feature. If any of the fields are harder to find in your documents, or if Smart Extract initially struggles to get them right, add Smart Hints to the fields, giving detailed descriptions of what Revver AI should look for.
Create a “Metadata Extraction” drawer and a “Manual Review” folder within it
Set up Smart Extract on the “Metadata Extraction” folder and choose the metadata fields that you want Revver AI to look for on new files
Add a Smart Name automation on the “Metadata Extraction” drawer, triggering when Smart Extract completes. Set the rules you want for renaming files, potentially using the metadata fields you will be extracting with Smart Extract. When asked for a location to send files that couldn’t be renamed based on your rules, select the “Manual Review” folder you created.
Upload a collection of files to the “Metadata Extraction” drawer. They should be automatically reviewed by Smart Extract, with the metadata it finds being added to the files. Then files should be renamed based on your Smart Name rules. Files that couldn’t be renamed should be moved to the “Manual Review” folder. If Revver AI doesn’t initially find all of the fields you want, try adding Smart Hints to the hard-to-find metadata fields.
Review the files to confirm the metadata and file names. Use the Search feature at the top of the page to test searching for new files based on your updated names and/or the metadata that was extracted.
A unique business process for your organization
If you have a unique business process you’d like to test out using these Revver AI agents, just create a specific drawer in your test cabinet for it. This could be unique processing of client or employee files, an approval process, or anything else. Just build out the folders that match your process, add the metadata fields that are relevant, and set up the Revver AI agents you need as described above. For more complex actions, you can also pair Revver AI with custom automated workflows you build and trigger using our no code workflow feature. If you’d like help thinking through or building out your unique process, book a Revver AI setup call here or reach out to your Customer Success representative.
As you refine your test case, you may find that you want to fine tune things such as which metadata fields you use and how they’re named, Smart Hints to better describe your metadata, document type descriptions in Smart Classification, and considering adding or refining an automated workflow. Once you have things working the way you want, you can move the test area into one of your main account cabinets (and potentially rename it) or can set up Revver AI fresh in your existing cabinets.
Note: If you don’t have the AI Management feature in Revver to set up these features, reach out to an administrator for your account. If you don’t yet have Revver AI included on your account, contact us at [email protected].
