Smart Hints are an enhancement to Smart Extract that lets you provide context clues to guide metadata extraction. Instead of relying only on field names, you can now tell Smart Extract exactly what to look for with additional context customized to your specific documents and business terminology.
With Smart Hints, you can:
Guide extraction with context clues. Add hints to any metadata field that explain how Smart Extract should locate the value. For example, if you have a "Regions" field, you can add a hint like "Find the region by looking at the address on each form."
Get specific with dropdown options. For dropdown fields, you can add Smart Hints to individual options as well as to the field itself. This helps Smart Extract understand how to match document content to your predefined values—even when the document uses different terminology than your dropdown options.
Improve accuracy without changing field names. Smart Hints let you keep your existing metadata structure while giving Smart Extract the additional context it needs to extract data correctly. You don't have to rename fields to match exactly what appears in your documents.
Required Permissions
You’ll need to be a Fully Licensed user with the Metadata Management feature enabled.
Adding a Smart Hint to a new metadata field (non-dropdown)
You can add a Smart Hint to any metadata field type, such as text fields, date fields, and dropdowns.
Step 1: Navigate to Metadata and select "Add new field" then select the dropdown option to “Add new metadata field”. You can also add Smart Hints by editing existing fields.
Step 2: Locate the Smart Hint field in the modal.
Step 3: Enter your hint text. Write a brief description that describes to Smart Extract how to find this value in your documents using contextual clues.
Step 4: Save the metadata field.
Adding Smart Hints to dropdown metadata fields
For dropdown fields, you can add hints to a dropdown field overall and to each individual option to help Smart Extract match document content to the correct value.
Step 1: Create a dropdown metadata field.
Step 2: Optional: Add a Smart Hint describing the field overall.
Step 3: Add a Smart Hint to each dropdown option that needs additional context.
Step 4: Save your list.
Tips for writing effective Smart Hints
Explain alternate terminology. If your documents use different words than your field name, include them: "May be labeled as 'Client,' 'Customer,' or 'Account Name.'"
Define dropdown options clearly. For dropdowns, explain what each option includes or how to identify it in the document. Add an “Unknown” option with a hint to your dropdown list to make manual review easier and to discourage Smart Extract from making an inference.
Keep hints concise. A sentence or two is usually sufficient—focus on the most helpful context.
Provide description, not location. Smart Extract does not currently have location awareness. For example, Smart Extract will not improve its accuracy with a hint based on a location such as “The item code is in the top left corner.” Instead, you could say “The code is formatted in a ABC-## pattern.”
