How to add user and group item permissions on items so that users can access those items

In order to view and access a file, folder, drawer, or cabinet a user will need item permissions on that item.

Item permissions serve as a critical tool for finely adjusting access levels and types of access granted to different users. By specifying item permissions for cabinets, drawers, folders, and documents, organizations ensure that each user receives only the necessary access required for their specific tasks.

In this article we will go through the steps to add item permissions on files, folders, drawers, and cabinets.


Access/Permission Requirements

To access and apply item permissions, users must possess a 'Full License' with 'Item Permissions Control' checked under 'Files and Structure' user permission, within the 'User Permissions' tab. This enables access to the permissions pane for files, folders, drawers, and cabinets:

In order add permissions for another group or user you will also need to have admin item permissions on that item yourself:


Steps to Add Item Permissions

1. Select the Item

Within the 'Documents Menu', navigate to the specific item for which you want to modify permissions and left click it. This can be done in the folder view pane on the left or in the center pane:

2. Navigate To Permissions

Click on the permissions icon (πŸ‘€) located on the right side of the screen:

The Details pane will populate with the current permissions assigned to the selected item. (As shown in the image above)

3. Select the Add Button

Click the plus symbol ('+') at the top of the Details Pane:

4. Select a User or Group

Specify the user or group for whom you want to configure permissions. You can search for their username or group name:

5. Choose Permissions

Select the desired item permissions that should be applied to the user or group by checking the boxes:

6. Define Inheritance Behavior

Decide on the inheritance behavior for the permissions:

  • Default: Applies permissions to the selected item and all its descendants.
    ​

  • Applies to this item only: Restricts permissions to the selected item without affecting its descendants.
    ​

7. Save Changes

Once you've configured the item permissions as needed, click 'Save' to apply the changes:
