Import Emails and Attachments into Revver

Email Import lets you automatically bring emails and their attachments into Revver. This enables important information sent to an inbox to be seamlessly stored, organized, and managed alongside your other files.

With recent improvements to the Email Import feature, it is now easier to connect a Gmail or Microsoft account using secure and seamless Sign in with Google (OAUTH 2.0) or Sign in with Microsoft (OAUTH 2.0) flow. Email Imports set up with the new flow allow Revver to now capture valuable email metadata for imported files to make tracking, searching, and managing imported content much easier.

Why use Email Import?

Email Import is useful when your team receives documents, requests, or records through email and wants them stored in Revver automatically.

You can use Email Import to:

  • Save incoming email content as a file in Revver

  • Import email attachments automatically

  • Route imported files to a specific Revver destination

  • Reduce manual downloading and uploading of email attachments

  • Keep email-related documents searchable and organized in one place

This is especially helpful for teams that receive forms, invoices, client files, supporting documents, or other records through a shared inbox or personal email account.

How Email Import works

Once your mapping is set up, Revver watches a selected email folder or label and imports matching content into a specified destination in Revver.

Depending on your import settings, Revver can import:

  • Only the full email as a file

  • Only the attachments from the email

  • Both the full email and attachments as separate files

For example, if an email contains a message body and an Excel attachment, Revver can import the email itself as one file and the Excel attachment as a separate file.

Supported Connection Options

When creating a new Email Import mapping, Revver supports multiple connection methods:

  • Sign in with Google

  • Sign in with Microsoft

  • Manual connection through IMAP

What’s new with Sign in with Google?

The new Google authentication flow is much easier, faster, and more secure than the previous manual setup process.

Instead of entering technical connection details such as:

  • Server address information

  • port number

  • app password

You can now simply sign in with your Google or Microsoft account and grant Revver access through a standard and secure authentication experience.


Access & Permissions Required

Email Imports can be created at the account level and at the user level. In order to set up Email Imports at the user level, your user will require:

  • Upload or 'Edit' permissions to the location the emails & attachments will be imported to.

In order to set Email Imports up at the account level, your user will require:

  • Upload or 'Edit' permissions to the location the emails & attachments will be imported to.

  • As well as the 'System Settings' enabled feature to access the 'Account Settings' page in Revver.


Email Imports Setup - User Level

Step 1 - Navigate to 'My Settings'

To configure an Email Import mapping, navigate to your 'My Settings' page. This is located under the 'All Features' button on the left hand side of your screen, or using the account selection drop down at the top right.

Step 2 - The Email Imports Tab

On the My Settings page, locate and click on the 'Email Imports' tab, located near the top of the page.

Step 3 - Add New Mapping

At the top right of the Email Imports page, click on 'Add New Mapping'.

Step 4 - Choose Your Email Provider

Select one of the available connection methods:

  • Sign in with Google

  • Sign in with Microsoft

  • Manual connection

Step 4A - Authenticate with Google

When signing in with Google, a pop-up window will appear where you can choose an account you are already signed into, or a different one if necessary.

Step 4B - Authenticate with Microsoft

If authenticating into a Microsoft account instead, a pop-up window will appear where you can sign in with your Microsoft account credentials.

Step 4C - Manual Connection Setup

Choosing the manual connection option will open up additional fields on the Email Imports page that will give you the option to enter the credentials and IMAP server details for your email account.

Please note: Additional permissions and settings may be required to allow your email server, service, or individual email user account to connect with Revver. Please consult with your IT professional or systems administrator if this email account requires additional permissions or enabled settings.

Once you have selected and configured your authentication method, you can now configure which emails come over, where they are stored, how email attachments are handled, and more.

Step 5 - Choose an Email Folder or Label

Select the email label/folder path you want Revver to monitor. This can be a folder or label in the connected email account. If you don't see any of your existing folders or labels available, click on the 'Refresh' icon to the left of the drop down menu.

Use Case Example: Create a Gmail label called Revver Email Import. Any email moved into that label can then be picked up by Revver for import.

Step 6 - Choose A Destination in Revver

Select the folder or destination in Revver where imported files should be stored.

For example, you could create a folder specifically for imported Gmail files so all imported email content is saved in one place.

Step 7 - Select an Import Option

Choose how you want Revver to import the email:

Step 8 - Choose What Happens After Import

Select what Revver should do with the email after it has been imported, by default all emails that have been imported will be moved into your email accounts archive.

Optional Step - Advanced Option

At the very bottom of the page, under the 'Advanced' section, you may choose to have uploads of the same name (including their attachments) be stored as new file versions of the previously imported version. This is useful for emails that get periodic or regular updates.

By default, any imported file of the same name will be stored as a separate, duplicate file. For example, if upload.eml was previously imported, if it is imported again it would be stored as upload (1).eml. With this setting it would be stored as a new file version of the already existing upload.eml file.

Finalizing your Email Import Mapping

Once you have configured the Email Import mapping, save it by clicking on 'Save Mapping' at the bottom of the page.


Tips for using Email Import effectively

  • Create a dedicated email folder or label for content you want imported

  • Use a dedicated Revver destination folder to keep imported items organized

  • Choose Full email and attachments separately when you need the full record of communication

  • Use Email Import metadata fields to improve search and tracking after import.
