Sharing documents and folders with clients as guests

In this article we will cover the steps on how to share containers (folders, drawers) and individual documents with guests (clients or anyone outside your organization).


Access/Permissions Requirements

In order to share via email you will need the 'Sharing' permission box checked under the 'User Permissions' section of your user:

In order to share via links you will also need to have permission to use 'Access Links':

In order to create and manage guest users outside the share menu, you will need 'User Management' selected under the 'Account Management' section:


Sharing Via Email

When you share a file using this method, you will automatically create a guest user on the account for the person you are sharing with.

1. Opening the Share Menu

Right click the desired file, folder, or drawer and select the ‘Share’ button:

2. Enter the Recipient's Information

Enter the guest user's email address on the 'To:' line. Then enter the subject line and message for the email they will receive:

Under the “recipient permissions” you can grant permissions to view, download, delete, and write (upload) by checking the appropriate boxes.

3. Advanced Settings (Optional)

To access the ‘Email Sharing Advanced Settings’ window, select ‘Advanced Settings’:

Here, you have a few different options:

You are able to check a box allowing the user to skip the login page (instant sign in).

You can choose to notify the recipient when the shared file or folder is uploaded, downloaded, and deleted.

You also have the option to select an expiration date on the share.


Sharing via Link

NOTE: Sharing via a link does not require a username and password to login and does not create a guest user for the person you are sharing with. You can increase security by adding an expiration date and maximum number of uses before expiration in the 'Advanced Settings' section.

1. Opening the Shareable Link Menu

Right click the file, folder, or drawer you would like to share. Select the ‘Shareable Link’ button.

2. Configuring the Link

Once the 'Shareable Link' window is open, the link will be generated and you can choose to require a name and email to view the shared file:

You can copy the link to your clipboard at any time by selecting the clipboard icon:

3. Advanced Settings (Optional)

Select the ‘Advanced Settings’ button to open the ‘Shareable Link Advanced Settings’ window:

Here, you can set the number of uses remaining before expiration and/or a date of expiration on the link. By default the link expiration date is 30 days.


Managing Guest Users

Another option to share your documents with people outside your organization is to manually create them as a guest and then apply item permissions to the file, folder, or drawer you wish for them to have access to.

Please note that guest users can not be given permissions on entire cabinets, only drawers, folders, and individual files.

1. Navigating to the Users Menu

Select the 'Menu Expansion Button' in the left side navigation menu. Select the 'All Features' button to access the All Features pop-out menu:



In the All Features pop-out menu, select the 'Users' button:


2. Adding the User

Select 'Add User' in the right hand corner:

This will bring up the same user creation menu we see when creating full users. We will want to add their email as their username, and a display name for how they will appear in the system. (Most users prefer the client/guests full name as the display name). Lastly for license type you will want to select guest.

Note: Once you have created the user, they will receive an email to create their own password.

3. Adding Permissions

Next, you need to ensure they have permissions on the item(s) you want them to have access to in Revver.

First, select the item you would like them to have access to. Then, select the 'Permissions Icon' in the right hand pane:

Select the '+' plus sign icon to add the guest user. Check all boxes for the permissions you want them to have on the item:

After doing this, the next time they log in, they will see the items you have given them permission on.
