Creating and managing guest users in Revver

Guest users are a special user license type that allows you to create limited access users on your Revver account. Guest users empower you with the tools to request or provide access to important documents for your clients.


Access & Permissions Required

In order to create a guest user via sharing, your user will require the 'Share with Guests' enabled feature.

To create guest users manually, your user will require the 'User Management' feature.


Creating a Guest User

In order for your clients to be able to access Revver, they will first need a guest user account. Guest users within Revver are a special license type with limited capabilities, they can be given basic access to Revver along with the permissions to upload files, but cannot be given any access to administrative or management tools.

There are two main methods of creating a guest user, the easiest is by 'Sharing' something to them using their email address. The share process in Revver automatically creates a guest user for them and provides them with the permissions necessary to view the location you are sharing. Guest users, much like full and essentials users, can be created manually as well.

Creating a Guest User via Sharing

The easiest method of providing access to a guest user is via sharing. This process not only provides immediate access to the shared location, but will automatically create a guest user for the recipient if it doesn't already exist.

To share a location to a client, start by navigating to the location you would like to share. Right click the location and select the 'Share' option.

A window will appear on screen allowing you to choose who to send it to, add custom messaging, and determine permissions. Use the 'To' field to enter the email of the client you wish to share the location to.

Ensure to include the client's email address correctly as this will trigger the creation of their guest user account and send an invitation email.

To allow the client to upload files, check the 'Write (Upload)' box.

When ready, click on 'Share' to send it out to the client. They will receive two emails in their inbox, the first will be an email notifying them of the share, the second will be a new user email that invites them to create a password for their new guest user account.

Creating a Guest User Manually

If you need to create guest users prior to giving them access, doing so manually is your best option.

To begin creating a guest user, start by navigating to your 'Users' list in Revver. Click on the 'All Features' option on the left hand side and select 'Users' to go to the users list.

To create a new user, click on the 'Add User' button at the top right.

On the new user creation page, the 'Login' field is where you will enter the clients email address. You can optionally provide them with a display name, assign them a profile to attach additional information, and even govern their user with a security policy.

When selecting a user license type, make sure to select 'Guest User'. No additional enabled features can be configured for a guest user.

Once ready, click on 'Create' located at the bottom of the page. This will finalize the guest user and notify the client via email, inviting them to create a password for their new guest user account.
