Occasionally, documents may become inadvertently misplaced or deleted, which can render them difficult to retrieve. Fortunately, two primary methods exist for relocating such documents: employing the search feature and consulting audit logs.
This guide will also cover additional considerations such as login methods and handling incomplete uploads to ensure a comprehensive approach to locating missing files.
Search Features
The search feature enables users to locate items by searching for a variety of criteria, including: name, text contained within, profile information, document creator, comments associated with the document, and the document's file path. You can access the search feature through the search bar in the top of the center pane. The following short animated clip demonstrates how I can relocate my file named 'fruit.txt'.
Additionally, the Advanced Search feature provides more filtering options such as Creation Date, Uploader, and Partial File Name, which can be accessed by selecting 'Advanced Search' from the magnifying glass icon in the search bar.
Notice in the clip how I could either find the 'fruit.txt' file through its name or through the text contained in the file. These are just a couple of the options you can use when searching for missing files.
Another important step is to check for incomplete uploads. Notifications for incomplete uploads are specific to each user account, so ensure to check your account and any team members' accounts if applicable. Retry uploading any incomplete files to properly save them in the system.
Audit Logs
In the event that the search function proves unsuccessful, users may leverage audit logs to locate the desired file. By reviewing the comprehensive record of all actions performed within their Revver account, users can determine whether a file may have been inadvertently relocated or deleted.
You can navigate to the audit logs by clicking 'All Features' in the left navigation menu and selecting 'Audit Logs' in the column under 'Account', as demonstrated in the clip below.
Audit logs allow you to filter by date range, display name, IP address, action (delete, move, login, etc.), and category (item, account, automation, share). In the image below I show how I located a file named ‘grain.txt’ using a few of the filters to see if the item was moved or deleted.
In my example, the ‘grain.txt’ file was found through filtering with the ‘Action’ filter and the ‘Delete’ and ‘Item Purged’ sub-filters. In this example, the item was manually purged, meaning that it cannot be recovered. You can also use the ‘Action’ filter and the ‘Move’ sub-filter to find if something was accidentally moved to another location.
If files remain missing after following these steps, gather details such as file names, approximate upload dates, and user accounts involved to assist support teams in further investigation.
