Governance - Overview

An overview of the Governance tools available within Revver and how to configure them.

Access & Feature Requirements

In order to access the governance menu, as well as create and modify governance settings, your user will require the 'Governance' enabled feature.

In order to create or modify governance settings on items and containers within Revver, your user will require 'Admin' item permissions to them.


Adding Governance to an Item or Container

Accessing Governance Tools

In Revver, navigate to and click on the item or container you want to apply a governance setting to. With it selected, click on the 'Governance' option in the sidesheet on the right side of your screen.

Creating a new Governance Setting

With the Governance panel open in the sidesheet, click on the '+' icon at the top right.

Governance Configuration Options

Creating a new governance setting will take you to this panel where you can configure how your governance setting will look.

Inheritance Behavior

The inheritance behavior you choose will determine how this governance setting applies to items inside of it. These options are only available when creating or configuring governance on a container, such as a folder, drawer, or cabinet.

Applies to this item

The governance setting will only apply to the item it is being configured on. It will not apply to any items or files within it.

Applies to all items within this item

The governance setting will apply to all items within it. Including folders and files, as well as sub-folders and sub-items within those folders.

Applies to all files in this item

The governance setting will apply only to files within the item it is being configured on. It will not apply to folders or their sub-items.

Applies to immediate items in this item

The governance setting will apply to all items within it, both folders and files, but will not apply to sub-folders or their items.

Protection

The protection options within governance settings determine how users can interact with the file while the governance setting is in place. By default, all options are unchecked, allowing users to perform all functions on the item without restriction.

Delete

The item(s) affected by this governance setting cannot be deleted.

Edit

The item(s) affected by this governance setting cannot be edited. This includes checking the file out, checking it back in with changes, renaming it, appending/prepending, etc.

Move

The item(s) affected by this governance setting cannot be moved to another location.

Share

The item(s) affected by this governance setting cannot be shared with other users if they do not already have pre-existing permissions to it.

Schedule

The schedule option within governance settings can determine how long the setting should be in place, and if a new action should be performed once the expiration has passed.

Indefinite
The setting and the protections affecting the file or container will not end and will schedule no follow-on actions.

Schedule
This allows you to configure an expiration for the action and, optionally, choose a scheduled action to take place when the setting expires.

To schedule an expiration, make sure that 'Schedule' is the selection in the radial options and then click on the 'Schedule' button underneath. You will be greeted with a schedule configuration window:

You have the option of choosing a custom timeframe, but you can also configure one based on the existing metadata value on the item or container you are configuring a governance setting on.

Once you have configured the timeframe for your governance setting, click on the 'Schedule' button to save it.

Scheduled Action
Currently, the following actions can be chosen to automatically occur once a governance expiration has passed:

Setting

Function

None

Default selection. No action will take place when the setting expires.

Delete

The item or container will be deleted when the setting expires.

Move

The item will be moved to a chosen location when the setting expires.

Copy

The item will be copied to a chosen location when the setting expires.

Email

Revver will send an email notification to the chosen email address when the setting expires.

Remove Access

Revver will remove access from a user of your choosing when the setting expires.

Purge (Shred)

The item will be permanently deleted AND purged from Revver. Warning: This is a permanent and irrecoverable deletion of the item.

Notify

Revver will send an in-app notification to the selected user when the setting expires.

Start Workflow

The selected workflow will start an instance when the setting expires.

API Callouts

Revver will make a call to an API endpoint of your choosing when the setting expires.

You may also configure the governance expiration to notify users with 'Admin' item permissions on the item or container a set number of days before it expires. This option is enabled by default for all items, but can be disabled.

Note: The 'Purge' action requires that this notification setting be enabled and cannot be removed.

Saving your Governance Setting

Once you are done setting things up, save your governance setting by clicking on the 'Save' button at the bottom of the Governance side sheet panel.

Your governance setting will now appear in the governance sidesheet panel for this item.


Modifying or Deleting a Governance Setting

Adding a Governance Change Reason

To modify or delete an existing governance setting, you must first configure a Governance Removal Reason. To do this, click on the 'All Features' option on the left hand side of the Revver screen and choose the 'Governance' option.

The following page will list any existing change reasons on your Revver account. To create a new one, type in the reason for the change into the text box at the top, then click on the '+' icon to save it.

With a change reason in place, you can now modify and/or delete governance settings.

Modifying and Deleting Governance Settings

First, navigate to and click on the item or container that has the governance setting you would like to remove. With it selected, click on the 'Governance' sidesheet option on the right side of your Revver screen.

Click on the 'Edit' button to the right of the governance setting on that item you wish to modify or delete.

This will open the governance setting configuration panel for that setting, displaying all currently selected and configured options for that setting.

To modify the setting, use the drop down menu at the top of the configuration panel to select a reason for the governance change you are making. Once you've done so, all of the options in the governance setting will be modifiable.

Save any changes you would like to make by clicking on the 'Save' button at the bottom of the governance settings panel.

Deleting a Governance Setting

To delete a governance setting, perform the same steps as above to modify it by choosing a reason for the change. Once you have selected a reason, click on the 'Delete' option at the very bottom of the settings panel.
