Getting the most out of the standard Search option in Revver.

Revver offers both a simple standard Search option as well as an Advanced Search option. You don’t always need to use Advanced Search, as the standard Search option in Revver is very powerful.


Standard Searching

If you want to use your standard Search setup (in terms of what criteria you are searching for) simply use the search box at the top of any screen and enter your search terms.

You can adjust your default search settings on the 'My Settings' page.

You can also go to the main Revver search page by clicking the magnifying glass at the top of any screen.

Here you can use the standard Search option, but quickly and easily adjust which criteria you want to include in your search. Simply enter your search terms and check or un-check any boxes based on what you want to search for:

  • Name (file or folder name)

  • Profile (metadata on the file or folder)

  • Created by (person who created the folder or uploaded the file)

  • Notes (text of notes added to the file or folder)

  • Full text (any text included in the document)

  • Path (folder structure where the file or folder is included)


Using Advanced Search

If you are looking for something that is harder to find or seeking to narrow down your search to have less to look through, you can use the Advanced Search in Revver to combine multiple powerful search criteria. Just go to the main Revver search page by clicking the magnifying glass at the top of any screen and click on the Advanced Search option at the top right.

Here you will have a section where you can add multiple search criteria. These will be combined with any search criteria that you have included in the standard Search box. For each search criteria, you can select the “And” option or the “Or” option. “And” narrows a search by requiring that all search criteria appear in the results. “Or” broadens a search by allowing any or all search terms to appear in the results.

When adding an Advanced Search criteria, you will have multiple options depending on the item you select (described below). Once you’ve entered your criteria and selected your options, click the plus button (+) to the right to add it as a search criteria.


Specific Advanced Search options

Revver offers a lot of powerful options for Advanced Search criteria. Each one is unique to give you the most robust search capabilities possible. Here we will outline each possible criteria:

Which type of item within Revver you are searching for (e.g., file vs. folder)

Can include (“Is”) or exclude (“Is not”) account workspace, cabinet, drawer, folder, file, or record.

Name

Searches for a matching name in the file or folder, but with a variety of matching options

Can specify in what way the name matches (or doesn’t) your search term. “Like” searches for whole word matches (no partial word matching). “Contains” allows for partial word matches, meaning matches within a word (e.g., “file” finds “files”). “Contains Words” requires a match for each word in your search (and if any word is missing the result isn’t returned). “Does Not Contain” means your search term can’t be included in the name. “Is” looks for an exact match while “Is Not” excludes exact matches. “Starts With” expects the name to start with your term while “Ends With” expects the name to end with your term.

Date Created

The date the drawer/folder was created or the file was uploaded

Can select criteria around a specific date - after, before, on or after, on or before, on, or not on. Can also use “within past” to select a number of the past minutes through years.

Date Modified

The date that the drawer, folder, or file was last changed or updated

Provides the same time options as “Date Created”

Created By

Find files or folders by searching based on the person that uploaded or created it

Can include (“Is”) or exclude (“Is not”) specific people from your account. Simply start typing their name to select them from the list of matching users in your account.

Created By Name

Find files or folders by searching for the name of the person that uploaded or created it

Searches for the creator by name or partial name. Includes all of the name matching options as the “Name” search criteria.

Container

Allow selecting a specific cabinet, drawer, or folder in your account

Can include (“Is”) or exclude (“Is not”) a specific location (cabinet, drawer, folder) in your account

Path

The names of all locations in the folder structure (path) where the file or folder is included

Can search for terms included in the path (“Like”) or make sure certain terms aren’t included in the path (“Does not contain”)

Comment

Text included in a Note or Comment included on the file or folder in Revver

Includes all of the term matching options as the “Name” search criteria.

Profile Value

Profile or metadata values included on the file or folder (e.g., a client or employee number)

Includes all of the term matching options as the “Name” search criteria.

Profile

Checks specific Profiles (sets of configured metadata fields) that are included on the file or folder (e.g., customer information)

Can include (“Is”) or exclude (“Is not”) specific Profiles from your account. Can also use the “Has” option to only include matches with or without any Profile associated with them.

Profile Item

Searches specific metadata fields (profile items) included on files or folders

Can select specific metadata fields (profile items) from your account and search for specific terms or values for that specific field. Different types of fields have different matching criteria. For example, text fields include all of the term matching options as the “Name” search criteria. Date fields have the same time options as “Date Created.” Fields with predefined values allow for matching specific approved values (like a drop-down selection).

Full Text

Searches the full text from a document

“Like” looks for any match that includes that term somewhere in the text. “Does Not Contain” looks for any match that doesn’t have the search term anywhere in the full text. “Matches Phrase” looks for matches that have an exact phrase included (rather than having your various search terms spread throughout the text). “Proximity” lets you search for multiple words and specify how close those words need to be together in the document, setting the number of words possible between your search terms with the “proximity word range.”


Missing item search

A different type of search available within Advanced Search is the Missing Item Search. This can be powerful if you’re looking for important items that may be missing. For example, you might want to find out which of your client folders are missing a necessary contract document or which of your employee folders are missing a required employee agreement document.

Simply select the Missing item Search checkbox at the top of the Advanced Search section. You will then have two options:

  • Template Missing Item Search - This allows you to select a specific folder template (for example a folder template you created for new client folders) and search for folders with that template applied that are missing the file or folder in your search.

  • Container Missing Item Search - This allows you to select a specific cabinet, drawer, or folder and search for drawers or folders in that area that are missing the file or folder in your search.

After selecting the area to look for the missing file or folder, simply use the Advanced Search criteria to describe the file or folder you’re concerned about and you will receive results of drawers or folders that are missing a file or folder matching that criteria.


Saving searches

When using Advanced Search, you may take the time to construct a complicated search that you don’t want to have to re-create again in the future. To help with this, you can easily view past searches by clicking on the Recent tab on the upper left of the main Revver search page.
