How to share your collections in Revver

The Share Collection feature allows you to share your collections (a gathered set of items that are stored in a variety of places within Revver) with other users in your account. With shared collections, teams working in Revver have a collaborative tool to help them:

  • Manage work across users more efficiently. You can share your collections to individual users or groups, which makes it easy to quickly get your collection viewed by others on your team. Once shared, the collection automatically appears in the recipient’s collection view without any additional work on their part.

  • Share without disrupting existing permissions setups. Shared collections respect all of a user’s existing item permissions, so recipients of a shared collection will be able to see everything in the collection that they have item permissions to view and nothing that they don’t have item permissions to view.

Quickly make updates and adapt to changing needs and roles. The collection owner can keep the collection up-to-date by adding or removing items at any time and all recipients will see those updates. You can also stop sharing and remove other users’ access to the collection. Recipients can also hide a collection they’ve received to keep their collections view organized and easy-to-use, with the option to re-show it any time.

This article will cover how to create a collection, how to share a collection, and how to manage a shared collection. It will also cover the recipient experience of receiving a shared collection and hiding/showing a shared collection.

Access & Feature Requirements

Collections are an enabled feature for all users with full licenses.

To have access to the Share Collections feature, you will need to be a Revver user with at least View item permissions to files, folders, drawers or cabinets within your Revver account.


Instructions to Share a Collection

Step 1 - Create a Collection

Create a collection of items by right-clicking on the item from the Documents view and choosing “Add to Collection.” You can add to an existing collection or choose “Create New Collection” from the submenu. Note that you will need to save the items you want to share to any collection besides your Favorites collection. Your Favorites collection cannot be shared.

Step 2 - Locate Your Collections Tab

In Documents, navigate to your Collections by clicking the “Collections” tab to the right of the “Folder View” tab. Here you can see your Favorites collection and all other collections you have made.

Step 3 - Share the Collection

Right-click on the collection you want to share. You’ll be able to see a menu of options. Choose “Share Collection.”

Step 4 - Select Recipients

In the Share Collection modal, choose the recipients you want to share the collection with. You can choose to share with any existing user or group in your account (you cannot share with guests). Anyone you share the collection with will be able to see the items in the collection that they have item permissions for. If they don’t have at least View permissions on an item, they won’t see the item.

Click the Share button. The modal will close, and you will now see a share icon next to the collection name.


Manage a shared collection

As the collection owner, you are able to manage the items in a collection, the list of users and groups you are sharing it with, and whether or not you want to continue sharing the collection.

Adding Items to a Collection

You can add or remove items at any time from the collection. Simply navigate to the items you want to add, right-click on the item, and choose “Add to Collection.” You can then pick the collection you want to add this item to from the collections you have created. If you add new items to a shared collection, everyone you have shared it with and who has at least view item permissions to that item will now see it in their collection view too.

Removing Items from a Collection

Navigate to the item from Documents or from your Collection and right-click on it. You will see the option, “Remove from collection,” in the menu. When you select this, the item will still exist in its original location, but will no longer be included in that collection by you or anyone you have shared the collection with.

Editing Recipients

Navigate to the Collections and right-click on the shared collection. Right-click on the collection name and select “Edit sharing.” From the “Edit Sharing” screen that will open, you can view the list of users and groups you have already shared the collection with. You can remove a user or group by clicking on the X. You can also share to more users or groups by adding their names from this screen.

To Stop Sharing

Navigate to the Collections and right-click on the shared collection and select “Edit sharing.” From the “Edit Sharing” screen that will open, you can select “Stop sharing.” Once you confirm that you want to stop sharing, anyone you have shared this collection with will no longer be able to see it listed from their collection view. You will still be able to see the collection until you choose to remove it. None of the items within the collection are deleted from their original locations when you stop sharing or remove the collection.


What can the recipient of the Shared Collection see and do?

The recipient will get a notification in Revver and an alert in their “Work You Care About” section on the homepage letting them know a collection has been shared with them. They can click on those notifications or navigate to their Collections area to see the shared collection. They will see the shared collection and the collection owner’s name in their “Shared with Me” section. They can open the collection and view any item they have the item permissions to access.

Any changes the owner makes will reflect in the recipient’s view, though a recipient cannot make changes to the collection. They may hide the collection if it is no longer relevant by right-clicking on the collection and choosing “Hide,” and they may choose to re-show the collection at any time by right-clicking on it and choosing “Show.” If the recipient wants to remove the collection entirely, the collection owner will have to remove their name from the recipient list from their owner’s “Edit Shared Collection” view.
