Understanding Item Permissions

How to use, manage, and understand item permissions within Revver

In this article, we will cover what item permissions are, how to use them, and understanding how to manage them. Item Permissions are the way you can give and manage access that other users, groups and guests have to your Revver files and locations. Item permissions and enabled features together offer the tools you need to create custom, controlled access to any part of your Revver account. By using item permissions, you can:

  • Create precise levels of access to files and visibility within files, so you can be assured that your sensitive information within your files and about your files are secure inside Revver.

  • Manage permissions more easily through inheritance settings. By setting permissions at a higher level, such as a cabinet or drawer, you can apply the permissions to all items contained within.

  • Control or share management work by providing Admin level permissions to members of your account, so the right people can view all access others have and easily edit as needed.


Access & Feature Requirements

All users and guests can now see the Permissions tab in the document action area. By default, all users and guests will be able to open the tab and see their own permissions and permissions they have granted.


To view all access anyone has to an item:

To see the access that any user, group or guest has to the item, you will need to have either the feature 'View All Permissions' enabled or have Admin item permissions for that item.

To grant item permissions:

Granting item permissions to another user, group or guest requires the matching Sharing features be enabled. If you have Sharing features enabled, you can grant permissions up to the level that you have yourself. You can also remove permissions that you have granted.


What are Item Permissions?

When you grant access to a file, you can determine the level of permissions the user should have on the specific item. These are called item permissions.

For any item, a person can have one of five basic permissions and two additional advanced options. Between these seven options, there is a way in Revver for any level of access you may need to grant to a user. Learning how to use item permissions, whether in a one-off share or widely applied through folder templates and inheritance settings, can help you easily control access to all of your important files.

When setting item permissions for items that can have sub-items, you can use inheritance settings to control how you want the item permissions to be applied to sub-items within the item.

It may be helpful to think of item permissions as a slider. Starting with the most basic item permission, View, each additional level of item permission builds upon and includes everything from the previous level all the way up to the most comprehensive permission, Admin.


Item Permissions Labels and Descriptions

Item permissions are different for files then they are for locations (folders, drawers, cabinets, accounts). Here is an overview of the item permission labels and definitions for files and for locations. Note that each item permission builds on the permission before it, meaning that by the time you get the most expansive permission of Admin, you will have all of the access included in all of the item permissions beneath it.

Item permissions for a file

View

The View item permission is the most basic permission with the minimum amount of access available. Even though this is a highly restricted permission, caution should still be applied when sharing any sensitive files digitally. Users can still use third-party tools that Rever has no control over, such as cameras or screenshot programs, to take actions that are disabled within Revver.

The View item permission allows users to:

  • View a file within Revver. A person with only the View item permission would see the Preview icon in the document action area. They can click on the tab to open the Previewer and see the file. They are able to zoom in/out, navigate to different pages within the file, and adjust Previewer settings on their instance of Revver (e.g. light mode or dark mode appearance). All other document actions are disabled.

  • See the file details, The file details are the file name, the type of file (e.g. PDF, doc, etc.), date created, date modified, file size, and the display name or email address of the person who created the file in the Details tab of the document action area.

  • Leave a note on the item and read notes they have already written.

  • Add the item to a collection or remove the item from their collection. Learn more about Collections.

Download

The Download permission includes everything available in the View permission. The Download item permission also allows users to:

  • Download

    • To download a single file:

      • Navigate to the Documents page.

      • Click on the dot menu (three vertical dots) next to the file’s name.

      • Select Download from the menu.

        • Note: You can download multiple files at once or even entire Folders or Drawers, but they must meet the following limits:

        • 1GB maximum file size, or

        • 5,000 files in total.

  • Copy. To copy the file, click on the dot menu next to the file’s name in the Documents page. Select Copy from the menu.

  • Print the file. To print, open Previewer to see the document. Open the Previewer menu and select Print.

Edit (formerly known as “Write”)

The Edit item permission includes everything available in View and Download, and adds the ability to:

  • Rename the file

  • Copy, Cut & Paste items

Note that Guests, even with the Edit permission, can not check out the file or make annotations.

Delete

The Delete permission includes everything available in View, Download, and Edit. This permission adds:

  • The ability to delete this file for all users.

Guests, even with the Delete permission, can not delete the file.

Admin

The Admin permission includes everything available in View, Download, Edit and Delete. This permission is the most comprehensive:

  • Adds the ability to edit permissions for any other user on this file. With this item permission, you can also see all other access any other user, guest, group or link has to this item.

Item permissions for a location (folder, drawer, cabinet, or account)

View

Users can view this location, its details, and any content inside of it within Revver (if using the default inheritance setting).

  • View the location within Revver and all content inside of it. A person with only the View item permission would see the Preview icon in the document action area for any file within this location. They can click on the tab to open the Previewer and see the file. They are able to zoom in/out, navigate to different pages within the file, and adjust Previewer settings on their instance of Revver (e.g. light mode or dark mode appearance). All other document actions are disabled.

  • See the location details and the details for all sub-items. The file details are the file name, the type of file (e.g. PDF, doc, etc.), date created, date modified, file size, and the display name or email address of the person who created the file in the Details tab of the document action area.

  • Leave a note on the item.

  • Add or remove the location or any of its sub-items to a collection. Learn more about Collections.

Download

Adds the ability to download this location and its contents (if using the default inheritance setting).

The Download permission includes everything available in the View permission. The Download item permission also allows users to:

  • Download

    • To download a single file:

      • Navigate to the Documents page.

      • Click on the dot menu (three vertical dots) next to the file’s name.

      • Select Download from the menu.

        • Note: You can download multiple files at once or even entire Folders or Drawers, but they must meet the following limits:

        • 1GB maximum file size, or

        • 5,000 files in total.

  • Copy this location and its sub-items. To copy the file, click on the dot menu next to the file’s name in the Documents page. Select Copy from the menu.

  • Print sub-items in this location. To print, open Previewer to see the document. Open the Previewer menu and select Print.

Upload

Adds the ability to upload files within this location and allow users to edit their own uploaded files.

This item permission has a nested permission where you can choose to allow users to delete their own upload files or not.

Create sub-items

Adds the ability to create sub-items within this location and allow users to edit their created sub-items.

This item permission has a nested permission where you can choose to allow users to delete their created sub-items.

Edit (formerly known as “Write”):

Adds the ability to edit this location and any item from any user within it (if using the default inheritance).

The Edit item permission includes everything available in View and Download, and adds the ability to:

  • Rename the location or any of its sub-items.

  • Copy, cut & paste this location and its sub-items.

Note that Guests, even with the Edit permission, can not check out the location or make annotations on any of the sub-items.

Delete

Adds the ability to delete this location and any item from any user within it (if using the default inheritance).

Users with Delete permissions on an item may delete files, but cannot delete any folders, drawer, or cabinets created by other users unless they have the “Create Modify Structure” feature enabled on their user as well. By default, the Delete permission gives permission for the user to delete their own uploaded files and sub-items they’ve created.

Admin

Adds the ability to edit all other permissions from any other user or access link.


Advanced Item Permissions

These are the same for files and locations.

Lock Access (override)

Apply only the permissions above, ignoring any other permissions granted through groups the user may be a part of. Even if users have Admin permission through other means, this will lock their permissions down to only what is selected above. This will only apply to individual user’s permissions (does not apply to groups).

Block access (restrict all)

Restrict users from accessing this item, regardless of other group permissions. If this setting is applied to a group, it will only block access to this item if the group inherited access to it from a parent folder. It does not allow one group to block access granted by another group.


Enabled Features and Item Permissions

Item permissions control your direct access to a particular item in Revver, but the features that your Revver user has enabled also influence what you can see and do with that item.

Item permissions are different from the enabled features configured by the User Type. The User Type dictates the kind of available Item Permissions that are available. The User Type of guest user, for example, has limited access by design and can’t receive any Admin item permissions.

In general, you’ll need management features enabled and Admin item permissions to view, edit or remove what other users have created or applied to an item in Revver. Learn more about Enabled Features.


Inheritance Settings for Item Permissions

Inheritance settings allow you to easily set up item permissions for users, groups or guests by setting your desired item permissions on a high level item, like at the account or cabinet level for example, and choose to have those permissions inherit down to all items and subitems from that location. This means you don’t have to worry about giving permissions one at a time to every new thing that comes into those locations.

Inheritance settings are for locations. By default, the inheritance setting is to have the item permissions you’re configuring to apply to the location and all items within that location. You can also choose to have it to only apply to that item.
