In this guide, we showcase how you can export a CSV list of your workflow instances from Revver, and also what to expect from the data you receive.
Access & Feature Requirement
In order to access the Workflow Instance CSV Export tool, your user will require the following features to be enabled:
Note: The workflow approval is enabled by default when giving a user the base Workflow feature.
Exporting a CSV List of Workflow Instances
This portion of the guide showcases the necessary steps to export a CSV list of workflow instances.
Step 1 - Navigate to the Workflows Page
From the Revver home page, start by clicking on the 'Workflows' option on the left hand side of the Revver page.
Alternatively, it can be found by clicking on 'All Features' and then selecting 'Workflows' under the 'Work' column.
Step 2 - Locate and Click on the CSV Export Option
On the workflows page, make sure you are on the 'Instances' tab. If you are not, the 'Instances' tab can be found at the top of the page.
On that page, click on the three-dot icon to the right of the filtering options and select 'Export Data'.
Step 3 - Choose a Date Range
Upon clicking 'Export Data', a small window will appear that allows you to select a date range for your CSV data export.
Any data that occurred outside of the selected range will be excluded from your exported CSV.
Step 4 - Save to your Computer
Once satisfied with the date range selected, click on the 'Export' button. You will be prompted with a file explorer window asking you where you would like the resulting CSV to be saved.
Choose a location, and optionally name the CSV file, then click on 'Save' to download it to your computer.
Additional Info
If upon selecting a date range and clicking 'Export', you receive a message stating 'No Instances Found', please verify that the date range selected has instances to begin with.
For this we recommend using the base Instances page of the Workflows section of Revver. Under workflow filtering options, check the box for 'Show all instances', that will make all workflow instances visible, regardless of their status, date, or completion status.
Workflow Instance CSV Exports At a Glance
When you export a CSV list of workflow instances, the resulting CSVs information will be displayed across the following columns:
Column | Description |
WorkflowInstanceID | This is a numeric identifier for the workflow instance used by Revvers internal database. |
WorkflowName | This is the name of the workflow that created this workflow instance. |
WorkflowInstanceName | This is the optional name of the workflow instance itself. |
Assignee | This lists the current Revver user assigned to the workflow instance. |
CreatedOn | This is the date and time the workflow instance was created on. |
LastModifiedOn | This is the last date and time the workflow instance was modified by a users actions. |
Stats | This is the current status of the workflow instance, or the last recorded status of the instance prior to its deletion. |
StageNumber | This is the stage number the workflow instance is currently on, or the last recorded stage the instance was on prior to its deletion. |
IsRejected | If the workflow is approval based, this colum shows whether or not it was rejected by its approver. |
RejectedOn | This is the date and time the workflow instance was rejected by its approver. |
CompletedOn | This is the date and time of the workflow instances completion. |
TimeSpent | This is the amount of time, in hours, that the workflow instance has been active. |
TimeSpentDays | This is the amount of time, in days, that the workflow instance has been active. |
IsDeleted | This column displays, via a TRUE or FALSE variable, whether or not the workflow instance has been deleted. |
DeletedBy | If the workflow instance was deleted, this column will indicate which Revver user deleted it. |
DeletedOn | If the workflow instance was deleted, this column will indicate the date and time it was deleted on. |
