Folder Templates - Predefined Document Names

Creating predefined documents in your templates to make renaming files faster and easier.

Predefined documents are a function of the Folder Templates feature in Revver, allowing you to create a predefined name that can be used to quickly rename documents uploaded into containers created by your folder templates.


Access & Features Required

To view and manage folder templates, your user will need the 'Template Management' feature enabled.

To apply templates to a location, your user will need 'Edit' permissions on the container you wish to apply a template to:


Adding Predefined Documents to a Template

Predefined documents can be created within folders in your template, and can be added to both new and existing templates on your account.

To begin, locate and open up the template you wish to add a predefined document name to, or create a new one. After you have created a folder, right click it and select the option to add a predefined document.

A predefined document is not an actual document, but represents a document that will be stored in this location after the template has been applied. A predefined document in a template allows you to rename any file stored into this location, once the template has been applied, and allows the name to be quickly selected rather than typing it out manually.

When adding and naming a predefined document, click on the calendar icon to choose a date variable. When a document is renamed using this predefined document name, it will automatically conform to the date it was renamed.

If you are creating a new template, these predefined document names will be available on any location created when the template is applied.

If you are editing an existing template, you will need to sync any changes you have made before the predefined names become available for use.


Using Predefined Document Names

After you have applied or synced a template with predefined document names in it, you can use it whenever you upload a file in that location.

From the Upload Queue

Predefined document names are available from your upload queue. After adding a document to your upload queue, you can choose the predefined document name using the drop-down button to the right of the filename text box.

Clicking on it will display any available predefined document names in that location.

Once selected, the filename in the upload queue will automatically update to match the predefined document name and any date variables it uses.

When Renaming Documents

Similarly, you can utilize a predefined document name when renaming documents in that location as well. Right click a document and select the 'Rename' option from the list.

Then click on the drop-down button to the right of the filename text box.

Select the predefined document name you would like to use and hit enter. The document will automatically update to match the predefined document name and any date variables it uses.
