Folder templates are a powerful way to create simple and complex folder structures in your Revver account. As a template, they can be applied manually or through Revvers automation features to your existing Revver folder structure, quickly and easily creating a uniform set of folders whenever and wherever you need them.
Access & Features Required
To view and manage folder templates, your user will need the 'Template Management' feature enabled.
To apply templates to a location, your user will need 'Edit' permissions on the container you wish to apply a template to:
Locating Folder Templates
The folder templates page can be found under the 'All Features' menu on the left hand side, located under the 'Work Column'.
Template Libraries
Upon clicking 'Folder Templates' in the 'All Features' menu, you will be taken to a page listing your template libraries. A template library is an item that contains individual templates and can be used to organize based on your needs.
Clicking on a template library in the list will open it and display any folder templates contained within it.
Creating A Template Library
To create a new template library, click on the 'New Template Library' button at the top right of the folder templates page.
Name your template library and click on 'Add Template Library' to create it.
Deleting a Template Library
To delete an unneeded template library, locate the library you wish to delete, hover your mouse over it, and click on the '...' icon on the right side of the listing.
Then select 'Delete' from the drop-down menu.
Note: Deleting a template library is permanent, and deletes all templates contained within the library as well.
Folder Templates
Folder templates are pre-created folder structures that can be applied across your Revver account to quickly and easily create a uniform folder structure wherever you need it.
Before creating a new Folder Template first ensure that you are inside of the template library you want this template to be contained in. Click on the template library to open it, which will display any existing templates it contains, allowing you to create new templates or edit existing ones as necessary.
Creating a Folder Template
To create a new Folder Template, click on the 'New Template' button at the top right of the page while in a template library.
You will first be prompted to name your new template.
After which you can begin creating and configuring the template to your needs.
Designing Your Template
Upon creation, your new Folder Template is empty and has no folder structure whatsoever.
Designing your template begins at the top level of your template, represented by the name of your template accompanied by a template icon.
To begin designing its structure, right-click it with your mouse and you will be presented with a drop down list of items you can add to your template.
The options are as follows:
New Folder: This creates a new folder inside of your Folder Template.
Upload: This will allow you to upload a file to your Folder Template that will be applied to any location you apply this template to.
Apply Template: This is a powerful option that allows you to copy other folder templtes on your account. Applying another Folder Template to any container in your new template will copy its structure completely, including any files that were uploaded to it.
Rename: This renames the item you have right clicked. If it is the top-level template structure, this allows you to rename the template itself.
Predefined Documents
The following option is only available on a folder within the template, and not the top-level template structure:
Add Predefined Document: This is a predefined document name that can be used to quickly rename documents stored in a location created by the application of this template.
All changes you make to your folder template are saved automatically.
Editing Folder Templates
Existing folder templtes can be edited any time you would like. While you are within a template library, click on the template you wish to edit to re-open the template editing screen to make any necessary changes to your template structure.
Template Syncing
If you are making changes to a template that you have already applied across your account, you can sync those changes to update any location the template has previously been applied to.
After making any change to your template, if you would like those changes to reflect on locations the template has been previously applied to, click the 'Sync Changes' button at the bottom of the template editing page.
A Note on Template Syncing
It is important to take care when making changes to your template that you intend to sync. Any change you make to your folder template and then sync will result in those same changes being made to ALL locations the template has been applied to, with the exception of:
Files and folders that are protected from editing by a governance setting will not receive the synced changes.
Deleting folders from a template and then syncing those changes will result in ONLY the empty folders by that name being deleted.
However, destructive changes are possible and can be difficult to reverse. With that in mind, we recommend adhering to the following guidelines:
Do not recycle old templates. If you no longer need a template, we recommend against repurposing an existing template by deleting or renaming folders, or the template itself. Delete the old template and create a new one instead.
Do not recycle old locations within an existing template. Renaming folders within a template and syncing will result in all folders or items created by that template to be renamed according to your changes.
The above goes for moving folders around within the template as well, syncing will result in all folders of that name created by that template being moved according to your changes.
Deleting a Template
To delete a folder template, locate it in the template library it's in, then right click it or click on the '...' icon when hovering your mouse over it and select the 'Delete' option.
Note: Deleting a template is irreversible.
Tips & Tricks
Sidesheet Options
The Sidesheet toolbar is available for items and folders in your folder template, allowing you to access and pre-configure options such as:
Metadata
Permissions
Governance
Automation
Any option configured on an item/container in your folder template will be applied to items/containers created by the template when it is applied.
Copying Templates
If you want to update a template, but don't want to make changes and sync them, you can easily copy a template by applying that template to a new one. Right click any structure item (including the top-level of your template) and select 'Apply Template' to copy an existing templates structure in to the new one you are creating.
FAQ
Does deleting a folder and then syncing those changes result in all applied folders of that name being deleted?
Yes, but only in the following situations:
If the folder was created by applying the template.
AND, if the folder was empty.
Folders that are not empty when changes are synced will not be deleted.
Will applying a template to a location with a folder that is named the same as one being created by the template application result in duplicates?
No, this should result in the folder being created by the template being merged with the existing one. Any sub-folders or items created by the template in that pre-existing location will be created in the pre-existing location as well.
Can I view if a folder or item was created by a template?
Yes, by clicking on the item itself and looking at its 'Details' in the Sidesheet. The template the container or item was created by will be displayed under a section labeled 'Templates'.
