Governance options and how to apply them to an item

Governance allows you to protect items from deletion, movement, and having changes made to them, this allows for greater security with sensitive files. In this article we will go over the options in the Governance tab.

Access/Permissions Requirements

In order to use the governance settings you would need the Governance User permission and, admin item permissions over the item you wish to add governance to.


How to apply governance.


1. Navigate to the item you want to apply governance to

In the documents view navigate to the item you wish to apply the governance to and select that item, governance can be applied to containers as well as individual files.

2. Select the Governance option.

In the side sheet of Revver select the option for Governance. This option is indicated by a small shield and calendar icon.

3. Add a Governance.

Select the small plus Icon in the top right of the governance menu to add a new governance to the item.

4. Select your inheritance behavior.

After creating the new governance you will select the governance settings you would like applied to this item. The first option in this list is the inheritance behavior this determines what this governance applies to. Select weather you want this to apply to only the item you have selected, all items stored inside of this item including containers, all files stored inside of this item, or to immediately apply to all items stored in the item.

5. Select the protections applied to this item.

The next option is the type of protection applied to the items this governance will cover. These will protect the item from being, Deleted, Edited, Moved, Shared, Or locked. You can select multiple types of protection if needed for the item.

6. Select expiration type/date.

After setting the protections you will then set the expiration type as either specified meaning you pick a specific date when this governance expires, or indefinite meaning this governance is applied indefinitely and will not expire.

7. Select expiration action.

The expiration action tells the governance what to do upon expiration, the expiration action options are.

  • Delete: deleting the item but not purging it from your Revver.

  • Move: moving the item to a new location.

  • Copy: creating a copy of the item to a specified location.

  • Email: sending an email notification to selected users or email addresses.

  • Remove access: removing access from specified users.

  • Purge (Shred): Purges the item from Revver.

  • Notify: notify specific users in Revver.

  • Start workflow: Starts a workflow targeting the items this governance is applied to.

  • API callout: triggers an API callout.

8. email users with admin permission in advance.

This checkbox will allow you to set this governance to email users with admin access to this item an amount of days in advance. Checking this box will send an email the amount of days in advance of the expiration happening.
